Administration Department

    The Administrative Department plays a central role in ensuring the efficient functioning of the Mahesana Municipal Corporation.

    Its key responsibilities include:

    🔹 Employee Management:

    • Maintaining attendance, salary processing, increment approvals, bonus distribution, and service book records for all municipal employees.
    • Implementing recruitment, appointment, and promotion policies in accordance with government norms.
    • Drafting and processing appointment letters, transfer orders, and proposals for pay commission benefits and higher pay scales.

    🔹 Staff Welfare & Resource Allocation:

    • Distribution of uniforms and ID cards to employees.
    • Providing Class-IV employees with safety essentials such as raincoats, boots, and gloves.
    • Overseeing staff welfare measures including leave management, medical reimbursement coordination, and pension documentation.

    🔹 Office Infrastructure & Procurement:

    • Managing procurement of office stationery, furniture, computers, printers, and other IT equipment.
    • Ensuring timely repair, maintenance, and AMC contracts for digital infrastructure.
    • Handling contracts for housekeeping, security guard deployment, and manpower outsourcing.
    • Managing tenders for official refreshments, catering, and event support for corporation functions.

    🔹 Interdepartmental Coordination:

    • Preparing responses to queries raised by MLAs and MPs by collecting data from all relevant departments.
    • Coordinating and assisting departments during state and national elections, census activities, and government surveys.
    • Maintaining compliance with government circulars, administrative protocols, and special audit requirements.

    🔹 Communication & Reporting:

    • Circulating important instructions and orders from the Hon. Commissioner, Deputy Municipal Commissioners, and administrative heads to all relevant sections.
    • Drafting responses to government letters, preparing reports, and maintaining official correspondence.
    • Managing confidential records and ensuring secure document archiving.

    🔹 Digital Governance Support:

    • Supporting implementation and training of digital platforms like HRMS, payroll systems, and e-office modules.
    • Assisting in grievance monitoring and ensuring internal compliance with citizen service timelines.

    🔹 Legal & Regulatory Oversight (if applicable):

    • Assisting in matters related to employee disciplinary actions, inquiries, and RTI responses.  
    • Maintaining updated records of employee insurance, GPF, and loan-related documents.
